We are currently in our sixth year of the Run and See Tennessee Grand Prix Series. We have invested a fair amount of time and money in perfecting the series and making it more user friendly to our member events and the participants who compete in the events.
In March of 2014, we launched our new website that combined the functions of the old Total Race Solutions and Grand Prix websites.
We made several changes to both sites with the goal of allowing us to upload the results pages for TRS timed events including access to individual results and overall finish lists and age group results as the participants cross the finish line. We also automated the upload procedure for the grand prix results which changed the process from a manual time intensive process that required us to create the data for each event in an excel file, convert that file to an SQL data file, and then upload that data to the site. If any portion of that original file changed, the whole process had to be repeated.
Over the past nine months, we have refined the data processing and upgrade procedures to the point that we believe that the data base and the reports that are available on the combined sites are timely and accurate.
The next function that we want to address is distribution of the awards. We see two distinct problems with the way that we have historically administered this facet of the program.
First, at the end of each grand prix season, we spend an inordinate amount of time trying to confirm the contact and size information for the age group winners. We end up getting to a point that we simply guess the size information because we have to order the prizes as a lot in order to get a quantity discount on the products and schedule the customized printing.
Second, after we purchase the awards and have them custom printed, we have a problem distributing the awards to the winners. In the past, we have tried to order enough shirts to award the top ten winners in each age group and then we end up donating half of the shirts to charity because they are unclaimed. Even with the first place prizes which are very nice and expensive, we end up with a few that are unclaimed each season.
Commencing January 1, 2016 we will offer a new Run and See Tennessee Grand Prix program to address the distribution of awards and benefit the grand prix participants who elect to join the program.
We have formed a grand prix club that we will administer utilizing our RunnerReg online registration service. The fee for club membership will be $15 per year. Club membership will run from August 1 of one year to July 31 of the following year. Membership fees will not be prorated for a portion of a year. Club membership will include the following benefits: automated $2 discount for all participating grand prix events ($54 value), any grand prix prize won will be delivered to participant by US Postal Service by September 1 after the grand prix season ends on July 31.
For the 2015-2016 season and beyond, grand prix awards will only be distributed to participants who are members of the club during the season that they qualified for the award.
